After much deliberation, the social committee has made the call to cancel the cookout today.  The Gazebo area is still wet and the grass is a bit tall as well.  Futurecast also shows rain developing all around us from 4-6pm (booooo!).  The raindate for the cookout has been set for 6/6.  Hopefully we will have better weather then.  Hope to see you there!

The Social Committee met on March 31, 2010 at Chef Lee.  After a quick dinner, we discussed the following:

1)  Recapped the HOA Board Meeting events.  Most importantly, the soccom requested $93.20 for the purchase of cooler(s) and white board supplies - the HOA Board approved $100 for this purpose. This was in response to the $93.20 in "accruals" (for lack of a better term) from 2008 and 2009.

2)  New Expense Reimbursement form was introduced to our committee members.  Critique received and accepted, changes to be made so that the form can be put into use by May.

3)  The Soccom budget for 2010 was determined with input from all committee members.  This will be submitted to the HOA Board at the next HOA Board meeting on 4/26/10.  The current proposed budget for expenses are as follows:

Easter Egg Hunt - $50.00
Spring Adult Mixer - $50.00
Spring Cookout - $200.00
Spring Ice Cream Social - $75.00
Fall Adult Mixer - $50.00
Fall Ice Cream Social - $75.00
2nd Annual Chili Cookoff - $200.00
Cookie Exchange - $50.00
Neighborhood Clean-up (w/Landscape Committee) - $25.00
Neighborhood Clean-up (w/ Landscape Committee) - $25.00

Cooler(s)/dryerase supplies - $100.00 (extra allotment by HOA Board outside of normal budget)

4)upcoming events (Spring Adult Mixer and Spring Cookout) planning discussed.  Mixer details published on HH website (see calendar posting for details).

5)  Next meeting date set for 5/12/10 at 7pm - Chef Lee.  Discussion to include working out planning and logistics for Spring Cookout as well as up coming events.

6)  Discussed need for additional social committee members and/or volunteers.

The latest round of gutter cleaning is slated to begin in the next 7-10 days.  We're working with Keith Morris of Stronghold Construction once again.  Rates are set at $65 per house for leaf removal from gutters.  To date, we have 21 participants.  If you would like to be added to the list of homes to be serviced, please contact Janet Whalen at redhotcpeppers@msn.com or 804-556-4484.

Excerpt from Keith's e-mail response back dated 3/29/10:

"I am looking forward to getting started as soon as possible.
I'm hoping that  we can at least begin sometime next week.

Because I have to incorporate my gutter installations in with the cleanings the days will not be consecutive. I have to rely on good weather and the other jobs having no problems.

I feel like it should take about 7 business days to complete the cleanings.

If you have any questions, please do not hesitate to contact me at (804) 218-1136.

The Social Committee has met twice this year once in January and again on 2/17.  We discussed the following:
 
*  The Social Committee has changed chairpersons.  Tracey Bishop has stepped down as chairperson.  Janet Whalen has agreed to take on the role as chairperson for the committee.  This was agreed upon by all present (Tracey Bishop, Sigrun Blondal, and Julie Lawrence).
 
* The social committee has set up a general e-mail address to use for RSVP's and general inquiries.  The e-mail address is:  HHSOCCOM@LIVE.COM
 
* The Social Committee is looking for individuals who are interested in helping on the committee - we are back down to 4 members again.

* The Social Committee is planning Holland Hills' 3rd Annual Easter Egg Hunt.  It will be held on Sunday, 3/21/10 at 3:00pm - raindate will be 3/28/10 at 3:00pm.  Parents are being asked to donate 20 eggs per participating child if they plan to participate.  Requests were made to exclude peanut-products in the candy donated due to allergies.  Social Committee will provide snacks, juice boxes, and bottled water, as well as 4 prices (two for the toddler category and two for the school-aged-children category).
 
*  Other events that are tentatively planned for 2010 are:
     Two ice cream socials (June & Sept)
     Two Adult mixers (May & Sept)
     Spring Cookout (May)
     2nd Annual Chili Cook-Off (October)
     Cookie Exchange (December)
     Bunko (Ongoing)
We will be able to report on budgeted #s at the next meeting.
 
*  We discussed the prospects of a neighborhood Yard Sale (suggested by a few residents).  The committee members unanimously voted not to plan a Holland Hills yard sale, but instead to advertise and use the existing yardsale set up through the Goochland YMCA/Goochalnd Parks & Recs.  It is held at the Fairground Bldg each year.  Information can be found at local businesses (i.e. The White Hawk Cafe). 
     
* Three 6 foot tables have been purchased by the committee to use for community functions.  Total of purchase was $157.47 (leaving $11.54 of the accrued/carry-over amount for our committee budget).
 
* We obtained the 2008 and 2009 numbers from stellar for the social committee.  We noticed a discrepancy on the 2009 figures.  The cookie exchange line item listed for 1/2/09 $81.66 is actually a 2008 expense - leaving us with an extra $81.66 in the budget for 2009.  If we are understanding all the #s correctly, this would mean that this amount should also have been carry-over for this year and meaning that we now have another $93.20 remaining from last years budgeted funds (and this is taking table expenses into account already).   With Board approval, the Social Committee would like to request permission to use the $93.20 left from the 2009 budget to purchase cooler(s) and additional notice board supplies for use in neighborhood social functions.  This request will be made at the next HOA Board meeting to be held on 3/29/2010.
 
*  We will be creating and implementing use of an Expense Reimbursement Form to use for future social committee reimbursement requests submitted through Stellar.  This will allow our committee to consistently document all reimbursement requests so that we can better track spending, allowing for more accurate budgeting for the future.
 
*  Lastly, and not really a Social Committee item, a neighborhood gutter cleaning is being organized by Janet Whalen.  Names, addresses, phone #s of those interested are currently being taken.  We will be using Keith Morris with Stronghold Construction once again.  He has locked us in at $65.00 per house for leave removal from gutters.  Please note that Keith also installs gutters, so if anyone has had gutter damage from the snow/ice, he can also give you a quote for insurance reasons as well as do repairs/installs too.  Anyone interested should e-mail their info to Janet at redhotcpeppers@msn.com ASAP.
